GrownBy allows farmers to offer Coupons and Promo Codes to provide discounts to customers. This guide explains how to quickly and effectively set up promotions and discounts on GrownBy.
Coupon Name – A farmer-facing name used for internal organization. Multiple Promo Codes can be associated with a single Coupon, so naming the Coupon Name something associated with the value of the coupon is helpful.
Promo Code – The customer-facing code used at checkout. You can have multiple Promo Codes associated with a single Coupon Name. Promo Codes are always in all capital letters and are entered by the customer during checkout.
Percentage or dollar amount discounts to reduce product costs.
Early bird discounts for returning CSA customers.
Nutrition incentive programs like Double Up Food Bucks for EBT/SNAP customers (Promo Codes can be limited to SNAP-eligible products).
Farm Credit bonuses (e.g., a 10% discount allows a customer to pay $200 for $220 in Farm Credit).
Community and volunteer discounts for work shares, gardeners, and local initiatives.
Promotions Page & Stats
The Promotions page displays all active coupons, their values, and usage statistics. Farmers can view related information and can export a .csv file containing details like:
Promo Code & Coupon Name
Date of use
Customer name
Customer email
Order & invoice numbers
Discount total
Method of payment
When you want to add or Edit Coupon, you will be taken you to this screen, where you need to decide on the details of your coupon.
Coupon Name: only viewable to the farmer. Remember that you can use the same Coupon with different Promo Codes to track different customer uses. You may find that it is clearest if the Coupon Name directly references the type of discount (i.e. $10 Off, or “25% Off” or “Total Comp.”)
Type of discount:
percentage off: a percentage by which the whole cart will be reduced
fixed amount discount: a dollar amount by which the cart will be reduced
The check box that says “Only allow this discount to items purchased with EBT” can be checked if applicable. This is helpful for farmers who have state matching programs or other funds to make their EBT purchases more affordable.
Categories: This can be left blank or one or more category can be chosen. This allows a farm to add one or more categories to which this coupon applies. This is helpful for incentive programs that might only allow a discount on fruits and vegetables. It is also helpful for running a special on a certain type of product, like flowers for Mother's Day.
Producer: This can be left blank or one or more producer can be chosen. This allows the farm to run a discount on products from certain producers but not others. This is especially helpful if you want to offer a discount on your own products but not others that you buy in. In order to use this for your own products, you'll need to be sure that all of your products are labeled with your own farm name.
Archive Coupon (viewable when editing the Coupon, not the Add Coupon popup) turns off the coupon, customers will no longer be able to redeem any Promo Codes associated with the archived Coupon. You can un-archive, or reactivate a Coupon at any time. You will still be able to see archived Coupon details and usage stats by toggling the “show archived” button. Use this feature to “turn off” a coupon that you want to use again in the future for a recurring special, or plan ahead and create a coupon and then archive it until you want it to be live.
Optional Details to Consider
Only allow one redemption per customer: Check this box if you want to limit the redemption of this code to one use per customer. For example, you may run a Promotion for new customers on their first order.
Order Minimum (before fees): You may want to set a minimum order amount, especially if you’re using a dollar discount. If you leave this field blank, there will not be an order minimum amount.
Max Number of Redemption: This is the maximum number of times this Promo Code can be used by any number of customers. For unlimited redemptions, you can leave this field blank.
Expiration Date: Setting an expiration date means that you don’t need to manage the discounts as closely. Select a date you want the Promo Code to expire, and customers will no longer be able to use the code at 12:01a.m. It implies urgency and exclusivity and is very useful for a short time offer, such as an early bird discount, a Labor Day grilling offer, or any other coupon that you want to use to encourage buying by a certain date.
Limit to certain users: For example, you could create a Promo Code to show your appreciation for volunteers and site managers, or reward returning customers with a free week of produce. You should clarify that the specific group or cohort of customers can apply the code at checkout without worrying that anyone else will take advantage of the code.
