Promotions and Discounts

This article covers how to quickly and easily set up custom Promotions and Discounts.

What are Promotions?

Just like many other online sales platforms, GrownBy uses Coupons and Promo Codes to provide discounts to customers. Setting up these discounts is a two-step process of creating a Coupon with a discount value and then naming customer-facing Promo Codes with optional rules to make managing these discounts easy.

Uses: 

  • To make a product cost less for your customer; percentage or dollar amount discounts.

  • Returning CSA customer discounts, like Early bird sign ups

  • To apply nutrition incentive programs like Double Up Food Bucks pricing to products for EBT/SNAP customers. A promo code can be set to only apply to SNAP-eligible products.

  • Offering discounted farm credit for spend-down CSA purchasers (for example, with a 10% off discount, a customer could pay for $200 of Farm Credit, but receive $220 of Farm Credits.)

  • Discount shares or products for community gardeners or work shares/volunteer discounts


Definitions:

  • Coupon Name: This is the farmer-facing name that is associated with the Promotion. You can nest MANY Promo Codes within a Coupon Name, so naming the Coupon Name something associated with the value of the coupon is helpful. 

  • Promo Code: Promo Codes are the customer-facing names that are nested within the Coupon Name. You can have many Promo Codes associated with one Coupon Name. Promo Codes are always all capital letters. The customer will type the Promo Code in at checkout. The Promo Code will show in all capital letters. 


The main Promotions page shows the coupon codes that are available, the value of the code, and the number of times they’ve been used. On this page you can also export a .csv, which includes: the Promo Code, the Coupon Name, the date it was used, the customer name, the customer email, the order number, invoice number, and the products it was applied to, the discount total, and the payment method.


How to create a Promotion

Step #1: Create the Coupon

Add Coupon or Edit Coupon take you to this screen:


  • Here you can enter the Coupon Name, which is only viewable to the farmer. Reminder that you can use the same Coupon with multiple different Promo Codes. You may find that it is clearest if the Coupon Name directly references the type of discount (i.e. $1 Off, or “25% off” or “Total Comp.”)

  • Choose the type:

    • percentage off: a percentage by which the whole cart will be reduced

    • fixed amount discount: a dollar amount by which the cart will be reduced

  • The check box that says “Only allow this discount to items purchased with EBT” can be checked if applicable. This is helpful for farmers who have state matching programs or other funds to make their EBT purchases more affordable. 

  • Categories: This can be left blank or one or more category can be chosen. This allows a farm to add one or more categories to which this coupon applies. This is helpful for incentive programs that might only allow a discount on fruits and vegetables. It is also helpful for running a special on a certain type of product, like flowers for Mother's Day.

  • Producer: This can be left blank or one or more producer can be chosen. This allows the farm to run a discount on products from certain producers but not others. This is especially helpful if you want to offer a discount on your own products but not others that you buy in. In order to use this for your own products, you'll need to be sure that all of your products are labeled with your own farm name.

  • Archive Coupon (viewable when editing the Coupon, not the Add Coupon popup) turns off the coupon, customers will no longer be able to redeem any Promo Codes associated with the archived Coupon. You can Un-Archive a Coupon. You will still be able to see archived Coupons by toggling the “show archived” button. You can use this feature to “turn off” a coupon that you might want to use again in the future or to create a coupon and then archive it until you want it to be live. 


Step #2: Create the associated Promo Code

Once you are in the "Edit" view of the Coupon, click on Add Promo Code or Edit Promo Code 


Add the Promo Code that you want to create. This is the customer-facing code, so it should be something that is easy to read and understand, like EARLYBIRD. It will show in all caps and can contain only letter or numbers.

Optional rules (you can forgo any of these):

  • Only allow one redemption per customer: if you want to limit the redemption of this code to once per customer check this box. For example, you may run a Promotion for new customers on their first order.

  • Order Minimum (before fees): Especially if you’re using a dollar amount off, you may want to set a minimum order amount. Leaving this field blank will not create an order minimum. 

  • Max Number of Redemption: This is the maximum number of times this Promo Code can be used by any number of customers. For unlimited redemptions, you can leave this field blank. 

  • Expiration Date: On this date, at 12:01am, the Promo Code will expire. This is very useful for a short time offer, an early bird discount, a Labor Day grilling offer, or any other coupon that you want to use to encourage buying by a certain date. This feature means that you don’t need to manage the discounts as closely. 

  • Limit to certain users: This is a way to create a Promo Code just for certain users. For example, you could create a Promo Code for specific site managers or volunteers. Then you could tell them to use it at checkout without worrying that anyone else could use it.


Step #3: Share the Promo Code:

You can share the Promo Code with your customers and potential customers. In the case of an early bird discount, you could put the Promo Code in the long description of the product or your CSA Group page on your GrownBy store. You could also share discount codes with customers via email, social media, or wherever you talk to your customers.


Step #4: Use the Promo Code

The Customer must type in the exact Promo Code at checkout to redeem a Coupon. If a farmer is creating an order for a customer, the farmer can also apply a Promo Code in the order creator. 


Other Notes:

  1. Checking Promo Code usage: You can use the .csv export to see who has redeemed the Coupons or Promo Codes. If you click on "Edit" to see the Coupon details, you can see all of the times that the associated Promo Codes have been used and by whom.
  2. Delete Promo Code: You can delete a Promo Code at any time. A deleted Promo Code can no longer be redeemed but the Promo Code’s data will remain associated with the Coupon. 
  3. You can also see your Promo Codes on the Invoices reports, where you can also see producers and categories.
