Subscription Payment Configuration and Proration

This article covers the different types of billing options available for subscriptions in GrownBy 3.0. Additionally, it provides details about proration.

Billing Options: All shares have the pay-in-full option. If you toggle Pay Monthly or Pay Weekly, you can allow customers to choose those installment options upon checkout. As a general note, it it important to know that GrownBy’s installment payments are just that - the total price of a share that is spread out over the course of the season. The deposit is charged at the time of sale and then installments begin in the month of the share.

Pay-in-full
  1. Price Per Pickup: This is the number that the total price is based on. You can choose a different price per pick up for different billing schedules, as you may find that you're more likely to have a failed credit card payment or other issue with installment billing where there are many more invoices. Certainly, you can use the same price per pick up for all installments.
  2. Discount: This % is automatically generated by GrownBy as the price per pick up is compared to the other installment price per pickups.
  3. Pickup: This is set by the field above where you have entered the number of pickups.
  4. Total Price: This is the total price of the share, which is the number of pickups multiplied by the price per pickup.

Pay Monthly
  1. Price Per Pickup: This is the number that the total price is based on. See other details above
  2. Deposit: With most CSA programs, we believe it is important for farmers to be able to charge a certain amount upfront to cover the costs of running their farm and this amount may or may not be refundable depending on the policies of the farm. You can set the deposit to be any number that you want, up to the total price of the share.
  3. Last Installment Date: This is the date by which all payments must be made. This date will impact the number of total installments and price of each installment payment. You can use this to create the number of installments. For example, if you want your monthly subscribers to have 3 installments, you can set the final installment date to three months after the beginning of the share. Note that if you have a bi-weekly share, the first date of that share may not be the first date of your delivery season.
  4. Discount: This % is automatically generated by GrownBy as the price per pick up is compared to the other installment price per pickups.
  5. Pickup: This is set by the field above where you have entered the number of pickups.
  6. Total Price: This is the total price of the share, which is the number of pickups multiplied by the price per pickup.
Monthly charges are made on the first of the month for as many months as there are between the start of the season and the final payment date. So, if a customer's first distribution is the 16th of June and they are paying monthly, their first invoice will be June 1. The amount of the monthly payments are:

Before the season begins:
Total Share Price - Deposit / number of months before the Final Payment Date
Customer pays the deposit and then monthly payments on the first of each month

After the season begins
Total Share Price / number of remaining months before the Final Payment Date + 1
Customer Pays an installment when they purchase the share that is equal to the amount of monthly payments

Pay Weekly
Customers can be charged on a weekly basis. As a general note, it it important to know that GrownBy’s installment payments are just that - the total price of a share that is spread out over the course of the season. Even if a customer buys a bi-weekly or monthly share, if weekly payments are configured they will be charged on a weekly basis.

The fields of Pay Weekly are the same as the Pay Monthly section, described above.

Weekly charges are made on Mondays for as many weeks apply between the start of the season and the final payment date. The amount of the weekly payments are:

Before the season begins:
Total Share Price - Deposit / number of Mondays before the Final Payment Date
Customer pays the deposit and then weekly payments each Monday

After the season begins
Total Share Price / number of remaining Mondays before the Final Payment Date + 1
Customer Pays an installment when they purchase the share that is equal to the amount of weekly payments
This amount is only used when the customer buys a share before the season begins; afterwards, GrownBy defaults to our prorated payment system that automatically determines an amount of deposit as an additional installment amount. 

Proration:
Proration begins after a customer has missed a distribution for their selected location. “Missing a distribution” means that the cutoff date for that distribution has passed. The deposit is not charged once the season has started. Once the season has started, GrownBy defaults to our prorated payment system that automatically determines an amount of deposit as an additional installment amount. If someone joins quite near the final payment date of the season for their type of installment, they may not be able to select that payment plan. The prorated billing schedule is based on the day that the customer joined, so it may not correspond with many of your other weekly or monthly installment schedules.
